NGOs registered in Tanzania file audited annual reports, and many donor grants require an asset register and periodic verification that funded items still exist and are being used for the programme. The gap that fails audits is between the register on paper and the equipment on the floor. Trakora closes it in three moves.
Tag every funded asset
Each item gets a barcode, QR or RFID tag and a record: what it is, which grant or donor funded it, its value, and where it belongs. High-value movable plant — a generator, a project vehicle — can carry a GPS unit as well as a tag.

What this cannot do
- Trakora is an asset register and tracker, not an auditor. It produces the evidence — the register, the verification, the history — but the audit opinion belongs to your auditor.
- It complements a fixed asset register; it is not a depreciation or accounting system. It knows where an asset is and who holds it, while your finance ledger keeps its book value.
- Out-of-zone alerts need a GPS unit on the asset and a zone drawn. A barcode-only asset is verified by scanning, not tracked live — GPS is for high-value movable plant.
- Verification is only as good as the tagging discipline. An untagged item, or one never entered, cannot be reconciled — the register reflects what you set up and scan.

What is NGO asset tracking?

What is book-to-floor verification?
It is checking that what the register says you have (the book) matches what is physically there (the floor), and the reverse. With tagged assets it becomes a scan-and-reconcile walk-through instead of a manual count, showing each item as present, missing or in the wrong place.
Does this replace our fixed asset register in accounting?
No — it complements it. Your finance system keeps the book value and depreciation; Trakora keeps where each asset is, who holds it, and the verification and loss history. The two answer different questions and are strongest together.
Do we need GPS on every asset?
No. Most assets are verified by a barcode, QR or RFID tag scanned at check-in, check-out and audit. GPS is reserved for high-value movable plant — generators, project vehicles — where asset_out_of_zone should alert if the item leaves its site. You mix the two by value.
Can it handle assets across several regions?
