An audit-ready fixed asset register for your hotel

A hotel owns far more than rooms: flat-screen TVs, minibar fridges, linen sets, staff radios and guest tablets that quietly walk out of the building. Trakora tags each item, records the room it belongs to, and flags it the moment it leaves — a fixed asset register a finance team can actually stand behind at audit.

The asset_left_room rule

Where did room 214's TV go?

Shrinkage in a hotel is rarely dramatic — it is a TV that migrated to a staff room, a stack of towels that never came back from the laundry, a tablet that left with a guest. By the time the annual audit finds the gap, nobody remembers when it happened. The asset_left_room rule turns that year-end surprise into a same-day flag: an item is registered to a room, and when it leaves, the register says so.

1 · Register

Every item has a tag and a home

Each asset worth counting gets a tag and is bound to the room or area it belongs to — room 214's TV, the housekeeping trolley on floor 3, the radios at the front desk. The register holds the item, its location and its status in one place.

2 · Detect

Movement out is a flagged event

When a tagged item leaves the room it is assigned to, asset_left_room raises a flag naming the item, the room and the time. It is a real event on the record, carried by word and icon — never colour alone — so the desk reads it correctly at a glance.

3 · Verify

A count you can hand an auditor

A scheduled walk-through scans each room and reconciles what is present against the register. The output is a dated verification an auditor and a finance team can rely on — the difference between "we think we have it" and "here is the record".

Asset register — one verification pass

Five asset events from one verification walk-through. One item flagged as having left its room and one overdue for return, each labelled in words, not by colour alone.
Time (EAT)AssetRegistered toStatus
09:02TV — tag HTV-118Room 118Present

09:31Tablet — TAB-06Concierge deskReturn overdue

Illustrative figures for layout only — not a customer record. Assets, rooms and schedules are configured values; the status is named in words, never by colour alone.

What you run on it

The register, specialised for hospitality

The real hotel asset-register feature and the asset_left_room rule, applied to the things a hotel actually loses.

Room-based asset register

Every tagged item is bound to a room or area, so the register reads the way a hotel is organised — by room, floor and department — not as one flat inventory list.

/ asset-register

Left-the-room alerts

The asset_left_room rule fires when a tagged item moves out of the room it belongs to, so shrinkage is a flag today, not a discrepancy discovered at year-end.

/ asset_left_room

Scheduled verification

Run a scan-based count on a schedule — monthly, quarterly, before an audit — and reconcile what is present against the register in one pass instead of a clipboard walk.

Audit & depreciation export

Export the register — item, tag, location and status — as the fixed-asset list your accountant needs for verification and depreciation, in a format finance already works in.

Custody & accountability

Because each item has a home and each movement is an event, a missing asset points at a place and a time — accountability by record, so no single person carries the blame from memory.

What to expect

Honest limits

An asset register is one system in a hotel's stack. Being clear about which one it is keeps expectations honest.

What this cannot do

  • Trakora is an asset register and tracking layer. It is not a PMS, a booking engine or a front-desk system — it does not manage reservations, room status, housekeeping schedules or maintenance tickets. It sits alongside your PMS, not instead of it.
  • The register only sees what you tag. An untagged item, or a room you have not set up, cannot be counted or flagged — the model reflects the setup you give it.
  • A flag is a prompt to check, not proof of theft. The asset_left_room event tells you an item moved out of place; whether that was a laundry run, a repair or a loss is for your team to confirm from the record.
  • Depreciation figures, useful-life and book values are an accounting decision. Trakora supplies the verified asset list and locations; the valuation lives in your finance system.
  • Tag range and read reliability depend on the tag technology and environment. Specifics such as read range are quoted per deployment and shown as until confirmed, never guessed.

Figures shown as are to be confirmed — the per-property price and any tag specification are scoped per deployment in TZS with a VAT invoice, and set out on the hotel pricing page. No number here is invented.

FAQ

Frequently asked questions

What can a hotel actually register with Trakora?

Anything worth counting and worth losing: flat-screen TVs, minibar fridges, linen and towel sets, staff radios, guest tablets, tools and trolleys. Each item is tagged and bound to a room or area, so the register reads by room and department rather than as one flat list.

What does the asset_left_room alert do?

It fires when a tagged item leaves the room or area it is registered to, naming the item, the room and the time. It turns quiet shrinkage into a same-day flag rather than a gap discovered at the annual count.

Is this the same as your general asset tracking?

It is the same register, specialised for a hotel. The general asset tracking module handles tools, plant and equipment; this page applies it to rooms, housekeeping and the fittings a property has to account for — and adds the asset_left_room rule for that job.

Will it help with our audit and depreciation?

Yes — that is the point of it. You get a verified asset list with tag, location and status that your accountant can use for verification and depreciation. Trakora supplies the count and the locations; the book values and useful-life stay in your finance system.

Does it replace our booking or PMS system?

No. Trakora is not a PMS, a booking engine or a front-desk system, and it does not manage reservations, room status or maintenance tickets. It is an asset register that runs alongside whatever PMS you already use.

How much does it cost for our property?

The hotel asset register is quoted per property in TZS with a VAT invoice, because a beach lodge and a city hotel are not the same count. See the hotel pricing page or ask us for a quote scoped to your rooms and asset list.
