Who has the master key right now?
A lost master key is one of the most expensive small failures a hotel has: at best a locksmith and a night of worry, at worst re-keying a wing of rooms and a serious security question for every guest inside them. The problem is almost never the theft — it is that nobody can say who held the key last. The key_not_returned rule fixes exactly that: every key has a custodian on the record, and when one is not signed back in, the desk hears about it.
Every key leaves with a name
A key comes out of the vault against a person and a purpose — housekeeping for floor 3, maintenance for the plant room, a duty manager holding the master. The sign-out records who, which key and when, so custody is never a matter of memory.
An unreturned key raises a flag
When a key is not returned within its expected window, key_not_returned fires — naming the key and the custodian — to the front-desk manager by SMS, WhatsApp or push. The state is carried by word and icon, never colour alone, so it reads correctly at handover.

What this cannot do
- Trakora is a key custody and alerting layer. It is not a door-lock or electronic-lock system — it does not open, close or re-program room doors. It records who holds each physical key and flags when one is not returned.
- It is not a PMS or front-desk system. There is no room-status board, no housekeeping schedule and no maintenance ticketing here — it sits alongside your PMS, not in place of it.
- A key_not_returned flag depends on the return windows you set. A key with no expected window, or one that is never signed out through the vault, cannot be flagged.
- An alert is a prompt to act, not the act. Recovering the key, deciding to re-key and briefing security stay with your team; the record makes those decisions faster and fairer.
