LPG / Cylinders
The Cylinder module tracks every LPG cylinder from depot to dealer to customer and back, using ruggedised UHF tags. It is built for Oryx, Lake, Mihan, Manjis-style dealer networks operating in Tanzania.
1. Tag a cylinder
- Use Trakora's metal-mount UHF tag (rated 5+ years outdoors, IP67).
- Stick it on the collar above the valve, away from the flame path.
- Each tag is encoded with the cylinder serial. Cylinders → Tags → Encode writes the EPC and binds it to the cylinder asset record.
2. Custody-chain handoff
Every change of hands is one scan with a C66:
- Depot → truck — driver scans on loading. Trakora records out.
- Truck → dealer — dealer scans on receipt. Trakora records delivered.
- Dealer → customer — at point of sale, scan the cylinder + scan the customer card or phone number. Trakora opens a custody record.
- Customer → dealer (return for refill) — dealer scans, custody closes.
- Dealer → depot (empties return) — driver scans on loading.
Any cylinder that has been with a customer longer than the contract period (typically 90 days) is flagged on the dealer's dashboard.
3. Refill vs swap
Two business models:
- Refill — the customer returns their cylinder to be refilled. Custody never breaks. Best for industrial/hotel customers.
- Swap — the customer hands over any cylinder and gets a different full one. The depot reconciles by serial weekly. Best for consumer LPG.
Trakora supports both per dealer.
4. Dealer reports
- Stock on hand — full and empty by cylinder size (3 kg, 6 kg, 15 kg, 38 kg)
- Customer cylinders out — by customer, age, and type
- Top customers — by refills per month
- Lost cylinders — flagged automatically after 180 days no-scan
5. Reconciliation with the depot
Each Sunday Trakora pushes a depot-style reconciliation: opening stock, deliveries in, sales out, returns, closing stock. Variances are highlighted; missing cylinders trigger a depot recovery task.
6. Safety incident logs
When a customer reports a leak or a damaged cylinder, the dealer logs an incident with photos. The depot is notified within minutes; the cylinder is flagged quarantine and cannot be refilled until inspected.
