Fleet & GPS

The Fleet module turns raw GPS positions into operational outcomes — driver behaviour, on-time delivery, fuel control, and proof of delivery. This guide covers driver onboarding, geofences, alerts, and history replay.

1. Onboard a driver

  1. Go to Fleet → Drivers → Invite.
  2. Enter the driver's name, phone number, and assign them a vehicle.
  3. The driver receives an SMS with a one-tap link to install the Trakora Driver app.
  4. They sign in with their phone number plus a 6-digit OTP — no passwords.

2. Pre-trip inspection

The driver app prompts a checklist before the engine is started:

  • Lights, indicators, brakes, tyres, fuel, oil, water, first-aid, fire extinguisher
  • Photo of the dashboard kilometre reading
  • Signature

If a critical item fails the trip is blocked and a workshop alert fires.

3. Draw a geofence

  1. Fleet → Geofences → New.
  2. Pick Polygon for irregular shapes (yards, customer compounds) or Circle for radius-based (depots, fuel stations).
  3. Drag the points on the map. Trakora snaps to roads if you enable Snap-to-route.
  4. Save and assign trigger types: enter, exit, dwell over X minutes.

4. Alert routing

For each rule pick the channels:

  • Push to the dispatcher's phone
  • Email to the operations supervisor
  • SMS as a fallback (costs ~25 TZS each)
  • WhatsApp via the Trakora bot
  • Webhook to your own ERP

Alerts respect the recipient's quiet hours (default 9 pm to 6 am EAT).

5. Proof of delivery (POD)

When a driver arrives at a customer geofence the app prompts for:

  • Customer signature on screen
  • 1–4 photos (cargo, dashboard, customer, damage)
  • An optional note

The POD packet is stamped with location and time and pushed to the back office in real time.

6. Fuel logs

Two ways to capture fuel:

  • Manual — driver photographs the pump display and enters litres.
  • Automatic — connect a CAN-bus or fuel-level sensor (FMC650 + LLS-20160). Trakora ingests litres in tank every minute and computes consumption per 100 km.

7. History replay

Fleet → Vehicle → History. Pick a date range. The map plays back the trip with speed, ignition state, idle dwells, and harsh-driving events. Export as PDF for legal or insurance use.
